Programs, Discounts, Late Fees, Tuition Payment Due Date & Refund Policies

Our Programs

Village Arts offers a range of engaging programs after school, on weekends, and during the summer, focusing on the arts and academic support.

  • Theatrical Productions: Elementary and middle school students can participate in Broadway-style theatrical productions throughout the year. While these productions are high-quality, our primary focus is on the creative process and teamwork.
  • Classes: We offer diverse classes and workshops in the visual and performing arts.
  • Homework Club Plus: Our Homework Club Plus provides a safe, inspiring, and fun environment where students can effectively complete their homework and receive support when needed. Our “PLUS” classes are a built-in part of our program, so students can move straight from doing homework to fun enrichment class.
  • Camps: Village Arts also hosts Visual and Performing Arts Camps, offering immersive experiences in various artistic disciplines.

Discounts

SIBLING DISCOUNT:For families who have two or more children in our musical program, use code SIBLING25 at check out for a $25.00 discount. One discount per family, please.

OTHER: Various discounts are available when you register for several programs, classes, and Homework Club. Discounts will be applied at the checkout.

  • $15.00 off when you purchase a class along with a musical program in the same order.
  • 10% discount when you purchase Homework Club Add-on with your Class or Musical Theatre Cast.
  • $5.00 off each class when you purchase two or more classes in the same order.

Universal Policies (Applies to ALL Programs)

  • Processing Fees: Cancellations, refunds, no-shows, and drop-outs will incur a $25 processing fee for all programs.
  • Case-by-Case Reviews: Considerations for exceptions may be made on a case-by-case basis when requested in writing for any program.
  • Medical/Family Emergencies: For medical issues requiring withdrawal (absences of 5+ consecutive days), a refund may be reviewed provided we receive a signed note from a licensed physician. A $25 processing fee applies.

Refund Policy for Theatrical Productions / Musical Programs and Performing Arts Camps

To maintain our casting integrity and program quality, Village Arts follows the refund schedules below.

  • No refunds of any kind will be issued once the final cast list is posted (for Theatre) or the program has officially begun (for Performing Arts Camps and Mini Programs).
  • All Musical theatre programs require a non refundable $100 deposit upon registration.

1. General Refund Timeline (Theatre & Performing Arts Camps)

  • Calculated from your tuition, minus a $25 processing fee.
  • More than 2 weeks before Auditions or Program Start: 100% Refund
  • Within 2 weeks of Auditions or Program Start: 75% Refund
  • After auditions begin but BEFORE casting is posted: See “Withdrawal” below.

Withdrawal During Audition/Start Phase

If a student withdraws during the audition/casting process (Theatre) or during the first days of a program (Performing Arts Camps), the refund depends on our ability to fill the spot:

  • If Village Arts finds a replacement: 50% Tuition Refund (minus processing fee).
  • If the spot remains vacant: 30% Tuition Refund (minus processing fee).

     

2. Mini Theatrical Programs

  • More than 2 weeks before start: 100% Tuition Refund (minus processingfee).
  • Within 2 weeks of start: 75% Tuition Refund (minus processing fee).
  • Within 1 week of start: 50% Refund if Village Arts fills your spot.
           30% Refund if the spot remains vacant.
  • After the program begins: No refunds will be issued.

Policy Notes

  • Processing Fees: All refunds are calculated based on tuition minus the non-refundable $25 processing fee.
  • Withdrawal requests must be submitted in writing to info@villageartstheatre.org. The date of the email will be used to determine the refund tier.
  • Casting Commitment: In theater, a late withdrawal impacts the entire ensemble. We appreciate your commitment to the production once casting is finalized!

Exceptions for Medical or Family Emergencies

In cases of recent medical issues or family emergencies requiring withdrawal, Village Arts will make every effort to determine an appropriate refund on a case-by-case basis.

  • Medical Requirements: This applies to absences of five (5) consecutive camp days or more.
  • Documentation: A signed note from a licensed physician is required to review the request.
  • Fees: A $25 processing fee will apply to all emergency-based refunds.

Tuition Balance Due and Payment Plans

  • Deadline: The final program tuition balance is due four weeks from the first day of auditions (specific dates vary by season).
  • Non-Payment: If full or partial payments are not received by this deadline, Village Arts reserves the right to cancel unpaid applications without refunding previous fees and to remove the student(s) from participating in the current program.
  • Payment plans are auto scheduled with a credit card when you select this option in our theatrical programs. Any custom payment plans must be scheduled with us within one week of registration

General Refund policy for Visual Art Camps, Classes, and Homework Club Plus

The following policies apply to our visual arts camps, and after-school programs. Please note that all refunds are subject to a $25 non-refundable processing fee. Any custom payment plans must be scheduled with us immediately after registration.

1. Visual Arts Camps

Full tuition must be paid before the start of camp. No refunds will be issued once camp starts.

  • Up to 2 weeks before camp starts: 100% Tuition Refund.
  • Within 2 weeks of camp start: 50% Tuition Refund.
  • No-Shows: No refunds will be issued.
  • Late Fees: Tuition is considered late by the second day of camp. A $10 late fee will be charged for each day tuition remains unpaid after that point.

2. Classes (8-10 week classes)

A class “session” refers to a single scheduled meeting of the course.

  • More than 2 weeks before class starts: 100% Tuition Refund.
  • Within 1 week before class starts: 75% Tuition Refund.
  • After the 2nd class session: No refunds will be offered.
  • No-Shows: No refunds will be issued.
  • Late Fees:Tuition is considered late by the second class session. A $10 late fee will be charged for each week tuition remains unpaid after that point.

3. Homework Club PLUS (HWC)

Full tuition must be paid before the start of the session. No refunds will be issued once the session begins.All cancellations or rescheduling requests must be submitted at least 24 hours prior to the scheduled start time.

  • Full Session Bookings: If cancelled 24 hours prior to the start of the session, you will receive a 100% tuition refund.
  • Weekly Bookings: If cancelled 24 hours prior to the start of the session, you will receive a 100% tuition refund.
  • Day-by-Day Bookings: No refunds will be issued; however, a credit to reschedule for a future date will be considered.
  • Class Drop-ins: No refunds will be issued; however, a credit to reschedule for a future date will be considered.
  • No-Shows: No refunds will be issued, and sessions are not transferable to an alternate day.
  • Late Fees: Tuition is considered late by the start of the session. A $10 late fee will be charged for each day tuition remains unpaid after that point

General Terms

  • Notification: All withdrawal requests must be sent in writing to info@villageartstheatre.org
  • Processing Fee: The $25 fee is deducted from the final refund amount in all applicable cases.
  • Emergencies: For medical or family emergencies, please refer to our main Medical Exception above regarding absences of five or more consecutive day
